These are common values, not rules. Every circular states its own limits, so always read the notice first and use the numbers written there.
Step by step: photo
- Take the photo in daylight against a plain light wall. Keep your face centred and look straight at the camera.
- Open the tool that matches the size in the circular, for example the 300 × 300 page.
- Add the photo. The tool scales it to fill the frame and crops the extra from the centre, so your face is not stretched.
- Check the preview, download the JPG and look at the file size shown next to it.
- Upload it to the portal.
If the face is off-centre, use the crop view before exporting and move the frame over your face.
Step by step: signature
Sign with a dark pen on plain white paper, photograph it straight on in good light and add the photo to the signature tool. Use the Signature Cleaner first if the paper looks grey or has shadows, then resize it to the exact size, for example 300 × 80 pixels.
Why portals reject files
- Too big in KB. Phone photos are often 3 to 8 MB. Use a KB target such as compress image to 100 KB or to 50 KB.
- Wrong pixels. The form wants 300 × 300 and your photo is 3000 × 4000. Resizing to exact pixels fixes it.
- Wrong format. Some portals accept only JPG. These tools save as JPG by default. HEIC photos from iPhone are converted too.
- File name or extra dots. Rename the file to something simple such as photo.jpg.
For PDF documents
Certificates and NID copies often have a limit too. Use compress PDF to 100 KB, 200 KB or 500 KB. Scan at 150 dpi in grayscale for the smallest result. NID to PDF puts the front and back of a card on one page.
