Email is convenient, but an email attachment can end up in the wrong inbox, on a shared computer or in a forwarded chain. If the file holds a bank statement, a contract, a medical report or an ID copy, a password on the PDF is a simple second lock: even if the file goes astray, nobody can read it without the key.

The free Protect PDF tool adds a password to any PDF in seconds using strong AES-256 encryption.

Quick answer

Open Protect PDF, upload your file, type a password, and download the locked copy. The recipient must enter the password to open it. Tell them the password through a different channel from the one you used to send the file.

What the protection actually does

When you set a password, the contents of the PDF are encrypted. Without the password, the pages cannot be displayed, and there is no practical way to guess strong encryption. This is much stronger than hiding a file in a folder or giving it a confusing name.

One important consequence: if you forget the password, the file cannot be recovered. There is no reset button and nobody, including us, can open it for you. Keep the password somewhere safe, such as a password manager or a note kept offline, and keep the unprotected original too.

How to protect a PDF, step by step

  1. Open the Protect PDF tool.
  2. Upload the PDF. It can be up to 50 MB.
  3. Type a strong password and, if the tool asks, type it again to confirm.
  4. Press the protect button.
  5. Download the locked PDF. Open it once yourself to confirm that the password works.

The password is used only while the file is being built. It is not stored or logged and it is gone when the job ends.

How to choose a good password

  • Length matters most. Use at least 12 characters. A phrase of four or five unrelated words is strong and easy to remember.
  • Avoid personal facts. Birthdays, phone numbers and names are the first things guessed.
  • Do not reuse the password you use for email or banking.
  • Mix it up with numbers or symbols if you like, but length gives most of the strength.

Weak examples: 12345678, password, rahim2000. Better: green-river-lamp-bicycle-47.

How to share the password safely

The biggest mistake is putting the password in the same email as the file. Anyone who intercepts the message gets both. Instead:

  1. Send the PDF by email.
  2. Send the password by a different channel, such as a phone call, an SMS or a chat message.
  3. For repeated exchanges, agree on a password once in person or by phone.

When to protect, and when something else is better

  • Protect PDF is right for a whole document that only one or a few people should read.
  • Remove Pages is right when you want to hide parts of a document from everyone, because deleted pages are simply gone.
  • Add Watermark is right when you want to label a copy "Confidential" or "Draft" rather than prevent access.
  • Unlock PDF removes a password from a file when you know it, which is useful once the document is no longer sensitive.

Is it safe to use an online tool for this?

The file is used only to add the password. The original is deleted as soon as processing ends, the result is removed automatically a short time later, and nothing is kept in a database. For extremely sensitive documents you may prefer an offline application, which is a reasonable choice on any online service. Read the privacy policy for the specifics.

Real situations where a password is the right choice

Bank and tax documents. Statements and returns contain account numbers and personal identifiers. A password limits harm if an email is forwarded or an account is compromised.

Medical reports. Health information is highly personal; locking the file adds a layer of protection.

Contracts and offers. Salary details and agreement terms should reach only the intended person.

Documents on shared computers or cloud folders. A protected PDF stays protected even if the folder is shared by mistake.

What a password does not do

It is important to understand the limits:

  • It does not hide that the file exists. Anyone who sees the file can see its name.
  • It does not protect a weak password. A short or common password can be guessed.
  • It does not protect after opening. Once someone has the password, they can save an unprotected copy.
  • It does not replace careful sharing. Send the file only to the people who need it.

A safe sharing routine

  1. Prepare the document and remove pages the recipient does not need with Remove Pages.
  2. Protect it with a long password.
  3. Send the file by email or a portal.
  4. Send the password by a different channel, such as a phone call.
  5. Ask for confirmation that it was received and opened.
  6. Delete your extra copies when the purpose is finished.

Managing many passwords

If you protect many documents, keep a record in a password manager or an offline notebook kept in a safe place. Remember that a lost password means a lost file. Keep the unprotected original in a secure location, ideally on an encrypted drive.

Quick checklist for protecting a file

  1. Remove pages the reader does not need.
  2. Choose a password of at least 12 characters, ideally a passphrase.
  3. Test that the file opens with the password.
  4. Send the file and password by different channels.
  5. Store the password safely, and keep the original unprotected copy secure.

Frequently asked questions

Can you recover my PDF if I forget the password? No. Neither we nor anyone else can open it for you, so keep the password safe.

Is the password stored? No. It is used only while the file is being built and is never stored or logged.

How strong is the protection? AES-256, a strong standard encryption.

Will the recipient need special software? No. Any modern PDF viewer will ask for the password.

Is it free? Yes.

Can I protect only part of a PDF? No. The whole file is locked. Remove or extract the sensitive pages if only part should be shared.

Can the recipient print and copy? After opening with the password, they can use the document as normal.

Is AES-256 safe? It is a strong, widely used standard. The strength of the result also depends on your password.

What if the recipient says the password does not work? Check for extra spaces and the keyboard language, or send the password again by a different channel.

Can I use the same password for several files? It is more convenient but less safe. Use a unique password for sensitive documents.
