How to Write a Proof of Address Letter

You need to open a bank account, enroll a child or start a job, and every office asks for a document with your name and address. A utility bill is the usual proof, but many people do not have one in their name: tenants who rent a room, young adults who live with family, students and new arrivals. A short letter from the right person often solves it. The Proof of Address Letter Generator writes that letter.

Who can write it

  • A landlord or property manager, confirming the rental and the date it began.
  • A host, who lives at the address and confirms that you live there too. This is the common case for a person who lives with parents, relatives or friends.
  • You, in a statement of residence. Some organizations accept it when nobody else can write one, often together with other documents.

What the letter should contain

The full name of the resident, the full address, the date the person started living there, a short sentence of confirmation, the purpose of the letter, the writer's name, relationship and contact details, the date and a signature. The generator puts the key facts into a small table so that the reader sees them at once.

Filling in the form

Choose the type of letter. Enter the resident's name and the address, and the move-in date. Add the writer's name, relationship and phone or email. State the purpose in a short phrase, for example "to confirm residence for a bank account application". Tick the rent box if a landlord wishes to confirm that rent is up to date. Leave the date blank to use today's date.

A worked example

Dana Reyes owns the building at 45 Maple Street. Her tenant Jordan Smith has lived in Apt 3B since August 1, 2024 and needs a bank account. Dana chooses the landlord template and enters the details. The letter shows today's date, the title "Proof of address letter", the table with name, address and move-in date, one paragraph saying that Jordan has lived there since that date under a rental agreement and that rent is up to date, an invitation to call Dana, and a signature block. Dana prints it, signs it and gives it to Jordan.

Supporting documents

Many organizations ask for more than a letter. Common companions are a copy of the writer's photo ID, a recent utility bill or tax bill with the writer's name, a copy of the lease or a government-issued letter addressed to the resident. Ask the organization what it accepts, and attach the documents it names.

Tips

  • Date the letter within the last 30 days if the organization has a freshness rule.
  • Sign it by hand or use an electronic signature the organization accepts.
  • Keep the wording factual and short.
  • Do not promise anything about the future, such as how long the person will stay.

Use it honestly

A proof of address letter must describe the real place where the person lives. Using a false address on an official application is deceptive and may be a crime. This template is not a legal form and not legal advice.

Quick questions

Does the letter need to be notarized? Rarely. Some organizations ask for it for statements of residence; ask first.

How recent should it be? Often within 30 to 90 days. Check the rule of the organization that asks.

Can I write the host letter for my own child or parent? Yes, if they live with you; give the relationship in the writer line.
