Getting paid is easier when your invoice is clear. A good invoice tells the buyer exactly what they are paying for, how the total was reached and how to pay. Many small shops and freelancers still write invoices by hand or in a spreadsheet and make arithmetic mistakes, which causes delays and arguments.

The free Invoice Maker removes the arithmetic. You enter the buyer and your items, and it produces a neat PDF with every sum worked out.

Quick answer

Open Invoice Maker, enter your details and the buyer's, add items with quantity and price, set a discount or tax percentage if needed, and download the invoice PDF. Subtotal, discount, tax and total are calculated for you.

What every invoice should contain

  • The word "Invoice" and a unique invoice number, so both sides can refer to it.
  • Date of issue, and a due date if you expect payment by a certain day.
  • Your details: name or business name, address, phone and email. A logo makes it look professional.
  • The buyer's details: name or company and address.
  • A list of items: description, quantity, unit price and line total.
  • Totals: subtotal, any discount, any tax, and the final amount due.
  • Payment instructions: bank, mobile banking number or "paid in cash".

How to create the invoice, step by step

  1. Open the Invoice Maker.
  2. Fill in your own details and, if you like, add your logo.
  3. Enter the buyer's name and address.
  4. Add each item with its quantity and price. Add more rows as needed.
  5. Enter a discount if you are giving one, and a tax percentage if tax applies.
  6. Check the totals and download the PDF.

How the totals are worked out

Understanding the order helps you check the result:

  1. Line total = quantity x unit price for each item.
  2. Subtotal = the sum of all line totals.
  3. Discount is taken off the subtotal.
  4. Tax is calculated as a percentage of the amount after discount and added.
  5. Total due = subtotal - discount + tax.

For example, three items of 500 each make a subtotal of 1,500. A 10 percent discount removes 150, leaving 1,350. With 5 percent tax on that, 67.50 is added, giving a total of 1,417.50.

Taka formatting and Bangla digits

Taka amounts are shown with lakh and crore commas, which is the way Bangladeshi readers expect, for example 12,50,000. You can also choose to show Bangla digits when your customer prefers them.

Tips for getting paid faster

  • Send the invoice as soon as the work is delivered, not weeks later.
  • Write a clear due date and, for larger sums, a short note about late payment.
  • Keep a numbering system such as INV-2026-001, INV-2026-002.
  • Save a copy of each PDF in a folder for your records and for accounting.
  • Combine an invoice with a supporting document using Merge PDF, and keep the file small with Compress PDF.

An invoice from this tool is a clear commercial document. Rules about tax registration, VAT numbers and invoice formats differ by country and business type. If you are registered for VAT or required to use a particular format, check the requirements with your tax adviser. The VAT calculator can help with quick sums.

Privacy

The invoice is built only to produce your PDF. The file is deleted from the server after the PDF is made, and your details are not kept. See the privacy policy.

What makes an invoice professional

Clients pay faster when an invoice is easy to understand and looks businesslike. A professional invoice has:

  • A clear title and number, such as INV-2026-014.
  • Consistent details: the same business name and contact information on every invoice.
  • Itemised lines with a short description, quantity and unit price.
  • Visible totals: subtotal, discount, tax and amount due.
  • Payment terms: the due date and how to pay, such as bank details or mobile banking.
  • A polite note, for example "Thank you for your business".

Common mistakes to avoid

  • Missing numbers. Gaps or duplicates in invoice numbers confuse accountants.
  • Vague descriptions. "Services" is not enough; write what was delivered.
  • Wrong totals. Use a calculator tool rather than doing the sums by hand.
  • No due date. Without one, clients treat payment as optional.
  • Wrong currency. State the currency and keep the formatting consistent.
  • Sending late. Invoice promptly after delivery.

Handling advances, partial payments and taxes

  • Advance payment: show it as a deduction from the total so the balance due is clear.
  • Partial deliveries: invoice each delivery separately or list items delivered so far.
  • VAT or sales tax: state the rate and amount. Use the VAT Calculator to check net and gross figures.
  • Discounts: show the discount as its own line, so the client sees the saving.

Keep your invoices organised

  1. Save each invoice as a PDF with a clear file name, such as 2026-10-acme-INV-014.pdf.
  2. Keep a spreadsheet that lists number, client, date, amount and paid status.
  3. Follow up on unpaid invoices after the due date with a polite reminder.
  4. Store a copy in a backup folder and share the monthly set with your accountant.

Quick checklist before you send an invoice

  1. Check the client's name and address.
  2. Confirm quantities, prices and totals.
  3. Make sure the invoice number is unique.
  4. Add the due date and payment details.
  5. Save a copy and note it in your records.
