A watermark is faint text across the page that tells readers something about the document: that it is a draft, that it is confidential, or who it belongs to. Businesses use it to brand price lists, students to mark drafts of a thesis, and individuals to label a copy of an ID "for admission use only" so that it cannot be misused elsewhere.

How to add a watermark, step by step

  1. Open the Add Watermark tool.

Choosing settings that work

  • Opacity. Light grey at 20 to 30 percent opacity leaves the page readable while still visible. Heavy marks make text hard to read.
  • Diagonal placement is the classic look and is hard to crop out.
  • Tiled patterns are harder to remove or crop than one central mark, and are good for sensitive copies.
  • Size. The mark should span the page but not hide the key content.
  • Colour. Use a colour that contrasts gently with the page, such as grey or a soft red.

A watermark is not a lock

It is useful to be realistic. A watermark labels a document and discourages misuse, but it does not prevent copying. The mark becomes part of the page, so it is not easy to remove, but someone with enough effort could still do it. For real access control combine it with a password using Protect PDF, or remove sensitive pages entirely with Remove Pages.

Keep your original

Because the watermark is built into the page, you cannot take it off again from the new file. Always keep your clean original, and save the watermarked version under a new name such as agreement-draft-watermarked.pdf.

Privacy

Choosing the right watermark text

The wording decides what the watermark communicates:

  • "DRAFT" tells the reader that the document is not final.
  • "CONFIDENTIAL" signals sensitivity and discourages forwarding.
  • "COPY" distinguishes a duplicate from an original.
  • "FOR ADMISSION USE ONLY - 10 OCT 2026" limits what a copied ID can be used for.
  • A company name or website brands documents such as brochures and price lists.
  • The recipient's name lets you trace a leak back to a copy.

Be specific. A watermark that names a purpose and a date is much harder to misuse than a plain word.

Settings that give a professional look

  • Diagonal at about 45 degrees is classic and easy to read.
  • Light grey or soft red keeps the text readable beneath it.
  • Opacity 20 to 35 percent is a good range. Too strong hides content, too weak is ignored.
  • Large size so the mark spans the page.
  • Tiled pattern for documents that you hand to people you do not know.

Watermarks in daily work

  • Students: mark a draft thesis "DRAFT - not for submission" before sharing with a supervisor.
  • Freelancers: put "PREVIEW" on mock-ups until payment arrives.
  • Landlords and tenants: stamp copies of ID with "For rental agreement only".

Limits of watermarking

A worked example: sharing a draft contract

A small agency sends a draft service contract to a client. The owner adds a diagonal grey watermark reading "DRAFT - not valid until signed" to every page. The client can read and comment on the terms, but nobody can mistake the file for a signed agreement. After negotiation, the final version without the watermark is signed. A month later, an old draft circulates in the client's office, and because of the watermark it is immediately clear that it is not the final version, which avoids a dispute.
